Terms Of Use

RAF GALAXY Terms of Use for Ex-Serving Personnel

Introduction

1. This document constitutes the Terms of Use (ToUs) for the RAF GALAXY platform. They are issued by System Manager in accordance with MOD Departmental Security Regulations and have been approved by the Air Accreditor. All personnel using the system are to confirm that they have read, understood, and will comply with these ToUs and no departure from or amendment to them is permitted unless the System Manager gains prior authorisation from the Accreditor.

2. Personnel who breach or ignore these orders will be removed from the system and have their membership revoked. Any incident that has, or is likely, to compromise the security of the system is to be reported immediately to the RAF Galaxy team via e-mail at:

Air-RAFGalaxyAlumni@mod.gov.uk who will raise the concern with RAF Police Protective Security (PS) Section who will in turn inform the Air Warning Advice & Reporting Point (WARP).

Definitions Used in These Terms of Use

"Content" means the data, text, information, adverts, messages, details, screen names, photographs, graphics, software, files, sounds, static and mobile images and all other material on RAF Galaxy.

"Items" means all goods or services offered for sale or rent that are available on RAF Galaxy.

"Post" means display, exhibit, publish, distribute, upload, transmit and/or disclose and the words "Posted" and "Posting" shall be interpreted accordingly.

"Station" means a Royal Air Force location. 

"Unit" means a Royal Air Force unit. 

"Registered User" means anyone who has a RAF Galaxy account.

"Services" means all or any services provided by us through RAF Galaxy.

"Terms" means these Terms of Use, our Privacy Policy, and any documents to which they refer.

Description of the System

3.  RAF Galaxy is a Global Alumni Network to enable the RAF to maintain a connection with former employees (Alumni). The online platform will be open to current and former RAF employees both Regular and Reserve. Personnel can request membership to the network by visiting an external facing website.

4. Within the platform, users can engage with the RAF, with other members, explore Job opportunities and other community driven functions. The organization maintains a professional record on the individual and can push specific content, experiences, or messaging to the end user.

5. The benefit to the organization of launching the Alumni Platform will be to drive business opportunities, recruiting & referrals as well as general increase in employer brand.

Level of Protective Marking

6.  Galaxy processes and stores data/information that is Personal, it will not transmit, process or store any classified information or data (e.g., OFFICIAL) and by consequence there are no codewords or caveats associated with this data/information.  Personal information/data stored or processed on the system is safeguarded in alignment with MOD data protection policy.

Responsibilities

Registered Users

7.1By becoming a Registered User, you warrant that:

(a) you are legally capable of entering into binding contracts; and

(b) you are at least 18 years old.

7.2  A contract, in relation to your use of RAF Galaxy as a Registered User, will come into existence and these Terms shall become binding on you in respect of such use when you begin to use RAF Galaxy as a Registered User.

7.3  English is the only language in which our contract may be concluded.

Duty to monitor or moderate

8.1  We are under no duty to you to monitor or record the activity of any RAF Galaxy user.

8.2  Content generated by Registered Users is not moderated.

8.3  We have the right (but not the obligation) to monitor any Posting or Content and we have the right to refuse, reclassify or remove any Post or edit any Content, for example (but without limitation) if:

a.  in our opinion, such material does not comply with our Terms of Use; or

b.  in our opinion, it may be offensive, illegal, defamatory or cause reputational damage to the RAF or its people.

Security 

9. User security responsibilities are described in these ToUs. Additional responsibilities for specific roles which are not relevant to general users are detailed in specific Annexes, see

below.

Personnel Security

Security Clearance Level and Access

10. All authorised users of the system are to hold the correct level of clearance commensurate with the classification of information on the system.

11. Unit System Manager requires as a minimum an SC security clearance.

12. Users will not be granted access to the system until they have read, understood, and  agreed to comply with these ToUs.

Computer Misuse

13. All system users are to comply with the MOD’s Acceptable Use Policy, JSP 740. In

summary Users are not to.

  1. Attempt to access areas where they are not authorised to access;
  2. Attempt to damage the system to prevent its use;
  3. Make unauthorised modifications of the system or the information contained within it.

Passwords

14. All passwords are controlled and managed by Enterprise Alumni (Application provider).

15. To ensure a minimum level of security RAF GALAXY passwords are technically enforced as follows: 

Storage and Media Management

16. Any use of portable media must comply with the following controls:

  1. Classified information saved to RM must be encrypted with an approved product, see product options in Defence Information Assurance Notice (DIAN) 15.

Acceptable Use and Monitoring

17. Users are not to tamper with the security settings or attempt to access information which they are not authorised to view. Use of RAF GALAXY is, and will continue to be, subject to monitoring. Users are advised that system logs are checked on a regular basis to detect unauthorised or suspicious system and security events.

Incident Management & Reporting Security Breaches

18. All Users have a duty to report security issues. In particular, users are to be vigilant for actual or potential security breaches, which could include:

a. Compromise of user passwords;

b. Corruption of information;

c. Non-availability of information or services;

d. Loss or compromise of information or services.


19. All potential or actual breaches of security are to be reported to Enterprise Alumni Security team via e-mail at: secops@enterprisealumni.com significant security concerns will be forwarded onto RAFP PS Section at the earliest available opportunity.
