Privacy Statement for the RAF Galaxy Alumni Service v0.2

It is important that you read this privacy policy together with the MOD privacy notice when we are collecting or processing personal data about you so that you are fully aware of how and why we are using your data.
In addition, the following is a specific statement regarding Privacy and Cookies within this RAF Alumni service (Galaxy) and how your personal information and data will be managed. This privacy policy supplements other notices and privacy policies and is not intended to override them.
The Royal Air Force (RAF) values the lifelong relationships it holds with its Alumni and current serving personnel. How we use your personal information reflects the importance of this relationship to us.
We will use your data to help us:

- Ensure we work efficiently and effectively
This statement applies to all users of this service both current and former RAF personnel.
DATA PROTECTION PRINCIPLES
We will comply with the Data Protection Act (DPA) 2018 and any subsequent updates of this Act, the personal information and data we hold about you must be:

- Collected only for valid purposes that we have clearly explained to you and not used in any way that is incompatible with those purposes.
- Relevant to the purposes we have told you about and limited only to those purposes.
- Kept only as long as necessary for the purposes we have told you about
- Kept securely
INFORMATION WE HOLD
All of the personal information and data we store and process has been given to us by you, this may include:
- Name, title, gender, date of birth
- Service history (sanitised where required), including service number
- Contact details (postal addresses, personal email addresses, personal phone numbers and social media links)
- Education information
- General Information about your time in the Royal Air Force and your past-time interests
- Your employment history
- Connections to other Alumni, supporters, and friends
- Media articles
- Information on your engagement in RAF Galaxy events, volunteering, groups, or networks
- Generic and non-offensive or non-sensitive images that you have chosen to upload
- Your preferences concerning how we contact you and for which purposes
We do not collect any Special Categories of Personal Data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health, and genetic and biometric data). Nor do we collect any information about criminal convictions and offences.
CHANGES TO THE PRIVACY POLICY AND YOUR DUTY TO INFORM US OF CHANGES

It is important that the personal data we hold about you is accurate and current. Please keep us informed if your personal data changes during your relationship with us.
COLLECTING YOUR INFORMATION

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
